Thankyou for your information request, the answers to which are below.
To answer your question, we have the following systems:
System type | System name | Supplier | System version | Notes |
ERP | Ozone | Datacom | 16 |
|
Financial Management | MagiQ | MagiQ software | N/A | We only use this for budgeting and forecasting purposes. This is a SaaS solution, and you can contact the vendor for latest version information. |
Procurement | New Zealand Government Electronic Tenders Service (GETS) | N/A
| N/A | We do not have an internal procurement system. We use a web-based government procurement system GETS. This is a SaaS solution, and you can contact the vendor for latest version information. |
HRIS | SharePoint | Microsoft | N/A | We don’t have an HRIS solution. We use SharePoint with various workflows we have built inside the council, such as onboarding and offboarding workflows. |
Payroll | Datapay | Datacom | N/A | This is a SaaS solution, and you can contact the vendor for latest version information. |
Enterprise Asset Management | RAMM |
| N/A | SaaS based product that all local government organisations must use for roading assets. We are also starting to utilise it for parks and property. This is a SaaS solution, and you can contact the vendor for latest version information. |
Enterprise Asset Management | Univerus Assets |
| N/A | Used for water utilities. This is a SaaS solution, and you can contact the vendor for latest version information. |
Any current strategy, roadmap, business case, options assessment, programme plan or investment proposal relating to the replacement, upgrade, migration, reimplementation or material redevelopment of those systems.
In the past year we have migrated from MagiQ on-prem to their SaaS based cloud equivalent and we have no current plans for changing to another business system.
We are in the process of migrating from Ozone to Datascape ERP.
We have thought about migrating from Univerus Assets to RAMM for water utilities, however this never eventuated in a serious option analysis, plan or a proposal. At the time, we felt it might be a good idea to use the same business system for all our assets however this would need a lot more groundwork and a future options analysis.
We have no plan to migrate from Datapay given that both Datapay and Datascape are Datacom products and it makes sense to keep them both, from integration and interoperability point of view.
We have met with a couple of HRIS vendors to review their solutions, however this never went further than product demo. We have attached a list of questions we had for each vendor during a product demo. In the end we decided to rebuild our workflows in SharePoint online.
Any approved or indicative budget, timeframe or target implementation date associated with those initiatives.
The only current and approved large scale IT project at the council is Datascape ERP implementation. The plan is to go live with the CRM module 2ndNov 2026, followed by Regulatory, Finance, Property and Rates modules around July 2027.
Any reports or presentations provided to the Council, a council committee, the chief executive or executive leadership team concerning those initiatives.
Yes, at the conclusion of the ERP RFP process, there was a recommendation report presented to the council recommending Datascape be approved as our preferred ERP choice. The recommendation was adopted, which is why we are now in the middle of implementing Datascape.
This report is being withheld under Section 7(2)(ii) as it would be likely to unreasonably prejudice the commercial position of the company. Datascape is in the middle of similar negotiations with other councils, and we cannot presently release this information.
Any current procurement plan, market engagement plan, request for information, request for proposal or other sourcing documentation relating to those initiatives.
Outside of ERP, there are no current or related active RFIs and RFPs. Please find the attached RFP related to the ERP.
Where any information is withheld, please identify the specific statutory ground relied upon and release the balance of the document in accordance with section 16.
We will not be releasing any pricing information nor budget related information with respect to the ERP implementation given this is commercially sensitive, especially given that we have only recently completed the RFP process which includes competitive pricing from various vendors who participated in the RFP.
Datascape is in the middle of similar negotiations with other councils, and we cannot presently release this information.
Therefore, this information is being withheld under Section 7(2)(ii) as it would be likely to unreasonably prejudice the commercial position of the company.
